Position
Shalom Hartman Institute of North America (SHI NA) has an exciting opportunity for a motivated, organized, dynamic, thoughtful, and detail-oriented individual to work with our national program team to ensure programmatic excellence. Based in New York, this position requires someone who is exceptionally strong in taking initiative, following-through with tasks, is organized and reliable, and a quick learner. The ideal candidate for this position will also have an understanding of and commitment to SHI’s mission, possess excellent communication skills, and the ability to prioritize and complete multiple tasks efficiently and excellently. This person will primarily support our intergroup, interfaith, and Rabbinic programming, but will work with the entire national program team.
Responsibilities and Duties
- Managing logistics for in-person conferences, retreats, and other events. This includes communicating with participants, managing participant, faculty, and staff travel, tracking attendance, preparing program materials, securing/arranging and liaising with caterers and event spaces, setting up/cleaning up for events, and creating evaluations;
- Managing logistics for virtual programs, including zoom set up and production, materials, supporting faculty, recording
- Form and maintain excellent partnerships with participants, alumni, and external vendors;
- Manage phone calls, emails, and requests in a professional, timely, and courteous manner;
- Assist with budget creation, maintenance and tracking; process reimbursements;
- Assist in the creation of contracts with partners and vendors;
- Assist in managing program, staff, and faculty calendars;
- Maintain an accurate record of program and participant activities and assist with data entry as needed;
- Collaborate with the SHI NA team on cross-organizational initiatives;
- Provide general administrative support as needed.
Qualifications
- 2-7 years of professional or administrative experience
- Passion for SHI NA’s mission
- Excellent written and oral communication skills
- Exceptionally organized and detail-oriented; able to manage multiple complex tasks
- Proven ability to thrive in a dynamic, high-energy environment and under tight deadlines
- Basic proficiency with Hebrew and Jewish texts
- Experience with CRM or data management software
- Excellent interpersonal skills including a professional, customer-service oriented demeanor
- Track record of demonstrating sound judgment by making appropriate decisions and knowing when to take initiative in identifying problems and devising solutions
- Proficient in Microsoft Office applications, especially Excel
- Good sense of humor
- Ability to be adaptable, resourceful, and proactive
- Ability to staff periodic evening programs and occasional weekend programs
- Ability to travel periodically
- BA / BS or equivalent
Salary and Benefits: Salary range $55,000 - $65,000, commensurate with experience. Competitive benefits package.
